Why Preparation Matters

A well-prepared notary appointment ensures a smooth process by minimizing errors, reducing stress, and preventing unnecessary delays. Proper preparation also helps the notary focus on verifying and witnessing your document without interruptions, making the overall experience more efficient and successful.

Key Preparation Steps

Bring Valid Identification

Notaries are required by law to verify your identity before proceeding. To avoid complications, bring a government-issued ID that is current and includes a recognizable photo. Examples of acceptable IDs include a driver’s license, passport, or state-issued identification card. Double-check that your ID is not expired, as many notaries cannot accept outdated identification. However, In WA State, we are able to accept an ID that is expired no more than 3 years. (RCW 42.45.050)

Understand Your Document

Familiarity with the content and purpose of the document you’re signing is crucial. While notaries are impartial witnesses and cannot provide legal advice, they may need to confirm that you understand the document you’re signing. Take the time to read and comprehend the material beforehand to avoid unnecessary delays during your appointment.

Check for Completeness

Incomplete documents can cause significant delays or even result in the need for a rescheduled appointment. Ensure all sections of your document are filled out, except for the areas designated for initials, signatures, and notary seals. Notaries are legally prohibited from advising on how to complete a document, so it’s essential to address this beforehand. If necessary, consult with an attorney or the document recipient to ensure accurate completion.

Know the Fees

Notary fees vary by state, and understanding these costs in advance can help you plan accordingly. Check your state’s notary fee guidelines and confirm the total cost with your notary prior to your appointment. For mobile notary services, inquire about any additional travel fees that may apply as well as accepted methods of payment. Maximum fees for WA State can be found in WAC 308-30-220

Bring Witnesses, if Required

Certain documents, such as wills or property transfers, may require witnesses in addition to the notary. Verify whether your document has this requirement and, if so, ensure the witnesses meet the necessary qualifications. Typically, witnesses must be impartial parties who are not named in the document. Remind your witnesses to bring photo ID to the appointment also.

Preparation Pays Off

The most frequent reasons I encounter for a notarization to be delayed/rescheduled are lack of sufficient ID and the absence of required witnesses.

By taking the time to prepare for your notary appointment, you set the stage for a seamless experience.

From ensuring your ID is valid to understanding the details of your document, these small yet essential steps can prevent common pitfalls and help you achieve your goals with minimal hassle.

Whether you’re meeting at a notary office or using mobile services, preparation makes all the difference.

Quick Tip:

If you’ve arranged for mobile notary services, choose a location that is quiet, well-lit, and free from distractions. This helps the notary focus on the task at hand and ensures the process is completed efficiently.
